About the Position: Information Technology continuously strives to produce a higher quality of services designed to meet the expectations of the campus community. We are seeking an exceptional individual to join our team as an Administrative Support Coordinator. The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness. Under general direction of the Chief of Operations, the Administrative Support Coordinator II works closely with the Information Technology Senior Budget Analyst to initiate, coordinate and execute billing coordination and departmental chargebacks within Information Technology and throughout the campus. Primary role will be to track, compile, and execute all recharges within the division ranging from service provided to annual maintenance contracts. Incumbent works with multiple IT managers to track and compile annual maintenance chargebacks, reviews monthly service chargebacks, and serves as the campus coordinator for Xerox copy machine recharges. Assists with the development of chargeback procedures, policies, and strategies to ensure repayment of service to the division. Works heavily with CSUF Financial Services submitting chargeback spreadsheets and .txt files in the system wide CFS (Common Finance System) chargeback system. Provides assistance in day-to-day financial operations. Incumbent also works with the IT Rollout department to assist with telecommunications billing and device management. Responds to customers via email, telephone, and in person. Uses a variety of office support technology and systems such as Microsoft Outlook and Excel spreadsheet packages to complete assignments. Independently addresses a wide range of work unit problems which require interpreting policies and procedures and using ingenuity to put information together in new ways. Responsible for completing multiple work unit projects and priorities simultaneously. Other duties as assigned. Essential QualificationsHigh School diploma or the equivalent and five years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to independently handle multiple work unit priorities and projects. Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference. Ability to effectively write and present own reports. Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations. Ability to use negotiation and persuasion skills to achieve results and expedite projects. A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.
